Your opportunity
- Support the contract intake process by reviewing incoming requests for completeness, confirming required information, identifying missing documents or approvals, triaging requests by complexity and urgency, and routing matters to the appropriate Contract Manager, Commercial Contracts Counsel, Strategic Sourcing Lead or business owner.
- Maintain contract workflow trackers, renewal calendars, execution status reports, contract lifecycle records, and operational dashboards to provide accurate visibility across active contracting matters, renewals, bottlenecks, aging requests, and completed work.
- Own day-to-day CLM data entry and contract record management, including creating and updating contract records, uploading executed agreements and supporting documents, entering required metadata, maintaining parent-child contract relationships, linking amendments and renewals, and ensuring records are complete, accurate, searchable, and audit-ready.
- Maintain CLM data quality by validating vendor names, contract owners, business owners, effective dates, expiration dates, renewal terms, notice periods, spend values, contract status, approval records, risk indicators, required attachments, document types, contract categories, and repository completeness.
- Monitor upcoming renewals, notice deadlines, auto-renewals, stalled workflows, incomplete requests, pending approvals, missing signatures, and data exceptions, and coordinate timely follow-up with relevant stakeholders.
- Support the preparation and review of low-risk or routine contract documents, including confidentiality agreements, statements of work, amendments, order forms, renewal documentation, and vendor administrative forms, under appropriate supervision; commercial negotiation positions and supplier-facing negotiation strategy remain owned by Contract Managers, Commercial Contracts Counsel, or Strategic Sourcing, as applicable.
- Coordinate contract approval and execution processes, including collecting approval evidence, confirming signatory information, monitoring e-signature workflow status, saving executed agreements, and ensuring final documents and supporting records are stored in the appropriate repository.
- Prepare and maintain contract operations reporting, including intake volumes, turnaround times, backlog, aging matters, renewal pipeline, contract status, execution status, data completeness, stakeholder responsiveness, and other key operational metrics.
- Analyze contract and workflow data to identify trends, recurring process gaps, data integrity issues, manual handoffs, delayed approvals, incomplete requests, and opportunities for simplification, standardization, automation, improved controls, or improved stakeholder experience.
- Work with Strategic Sourcing, Finance, Information Security, Data Privacy, Business Continuity, and business stakeholders to support supplier onboarding, due diligence coordination, contract-related governance steps, and issue escalation, without assuming ownership of sourcing events, supplier evaluation, supplier selection, or commercial negotiation strategy.
- Assist with the administration, maintenance, and continuous improvement of contract lifecycle management tools, including CLM data standards, required fields, naming conventions, workflow processes, templates, playbooks, standard operating procedures, reporting packs, knowledge articles, and training materials.
- Provide responsive, professional, and practical support to business requestors and stakeholders, including explaining process requirements, chasing missing information, providing status updates, and escalating issues appropriately.

Must have skills
- Bachelor’s degree in Business, Law, Legal Studies, Operations, Supply Chain, Finance, Procurement, Data Analytics, Information Systems, or a related field, or equivalent practical experience.
- 1–3 years of experience in contract administration, contract management, procurement operations, legal operations, vendor management, business operations, finance operations, data analysis, reporting, or a related operational support role.
- Basic understanding of contract lifecycle management, including intake, review, approval routing, execution, CLM data entry, repository management, metadata capture, renewal tracking, reporting, and close-out.
- Strong attention to detail and comfort reviewing contractual documents and operational records for completeness, consistency, dates, party names, commercial details, approvals, metadata, required attachments, CLM field accuracy, and repository completeness.
- Ability to enter, maintain, validate, and reconcile CLM data accurately and consistently, including identifying data gaps, correcting records, and escalating recurring data quality issues.
- Strong organizational and follow-up skills, with the ability to manage multiple contract workstreams, deadlines, reporting requests, stakeholders, and information requests at the same time.
- Analytical mindset and ability to work with contract, workflow, renewal, and operational data to identify trends, gaps, exceptions, and improvement opportunities.
- Clear written and verbal communication skills, including the ability to chase missing information, explain process requirements, summarize status, prepare management updates, and escalate issues appropriately.
- Sound judgment and willingness to escalate legal, commercial, risk, privacy, information security, operational resilience, governance, data quality, or stakeholder issues when appropriate.
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams, including the ability to maintain trackers, prepare reports, and present status information clearly.
- Collaborative working style and ability to partner effectively with Procurement, Legal, Finance, Risk, Compliance, Information Security, Privacy, Business Continuity, Technology, and business stakeholders.
- Integrity, discretion, and professionalism when handling confidential supplier, legal, financial, contract, operational, and business information.
Nice to have skills
- Experience in financial services, asset management, investment management, technology, professional services, or another regulated industry.
- Experience supporting vendor contracts, statements of work, amendments, order forms, software or SaaS agreements, professional services agreements, confidentiality agreements, renewals, supplier onboarding documentation, or third-party governance records.
- Familiarity with contract lifecycle management, procurement, e-signature, workflow, vendor risk, reporting, or analytics platforms such as Agiloft, DocuSign, Coupa, SAP Ariba, Jaggaer, Ivalua, OneTrust, Power BI, Tableau, SharePoint, ServiceNow, or similar tools, including experience with CLM record creation, metadata entry, document upload, and data maintenance.
- Experience preparing dashboards, operational reports, process maps, management information, workflow metrics, renewal reports, or data quality reports.
- Experience supporting supplier onboarding, vendor due diligence, third-party risk reviews, information security reviews, privacy reviews, business continuity reviews, procurement governance workflows, or audit requests.
- Understanding of common commercial contract concepts, including confidentiality, intellectual property, payment terms, limitation of liability, indemnities, warranties, audit rights, termination, service levels, renewal terms, data protection requirements, and operational resilience considerations.
- Interest in developing broader contract management, contract operations, procurement support, vendor governance, legal operations, data analytics, process improvement, or commercial contracting skills.
- Professional certification or progress toward a relevant qualification, such as CIPS, IACCM / WorldCC, paralegal certification, project management, Lean Six Sigma, data analytics, business analysis, or equivalent training.

Compensation information
The base salary range for this position is $70,000 to $80,000. This range is estimated for this role. Actual pay may be different. This role will remain open until September 30, 2026.
